Below is a few of the rules and regulations for vendors:
Hours of Operation: Opening at 10:00 a.m. and Closing at 10:00 p.m. daily. Exception: Sunday opening of the fair is at 1:00 p.m. Vendors with outside spaces may remain open past 10:00 p.m. based on the Midway schedule. Vendor space must be manned at all times.
Closing of the fair: Vendors/Concessionaires must remain open until 10:00 p.m. on the closing day of the fair. Vendors violating this policy may lose the rental space the following year.
Parking & Admission Passes: will be issued based on the value of the contract. Additional passes can be purchased at a reduced price for vendors/concessionaires only.
Equipment Rental: Tents, tables skirting, chairs and backdrops. The exhibitor may request additional rental equipment by contacting the fair office. Rental equipment is contracted through an outside agency.
Tent Rental: The fair will provide the wiring for the lights to each tent. However, exhibitors must supply 100 watt light bulbs.
Drawing/Give-a-Ways: Drawings and Give-a-Ways are offered by the vendor at not cost to the fair patron. The fair board requires that information be clearly stated at the booth to include the day, time and location of the drawing.
Raffles: The fair board reserves the right to limit the number and type of raffles being held during fair week. NO new raffles will be accepted in 2010. In 2011 only 501 [c] 3 organizations will be considered for raffles during fair week. However, vendors planning to hold any type of raffle during the fair must receive approval fromt he fair board. It is recommended that you receive approval prior to submitting for your raffle permit. If approved by the Fair Board, raffle information should be submitted with your contract to include the type of raffle, raffle prizes and raffle license number. The fair board requires that the raffle license be clearly displayed at the booth along with the day and time of the drawing. Raffle tickets may only be sold at the location (booth) stated on the contract. Ticket sellers must remain within the rented space and not solicit or sell tickets in the walkways.
Insurance Requirements: The Hillsdale County Agricultural Society (Hillsdale County Fair) has established the following minimum insurance requirements for parties conducting activities on its premises:
*General Liablity - Commercial General Liability including Products - Completed Operations Liability with limits of $500,000/$500,000 Bodily Injury and $100,000 Property Damage or $500,000 Single Limit.
*The General Liablity Policy must name the Hillsdale County Agricultural Society as Additional Insured.
*Workers Compensation and Employers Liability - Coverage to meet the statutory limits required under Michigan Workers Compensation Law.
* Evidence of General Liablity and Workers Compensation is to be furnished on an ACCORD Form - Certificate of Liability Insurance 30 days prior to the scheduled activity.
